Project Coordinator

The Project Coordinator is responsible for managing and controlling project processes and documents including but not limited to; bidding, prime contracts, subcontracts, change orders, job costing, and, support team with submittal and RFI process as need.

Responsibilities:

  • Setup bid folder on network and create subcontractor list

  • Generate invitation to bid and send out with plans and pertinent information

  • Schedule job walk with project manager and building owner and confirm access to the building

  • Contact building owner for building requirements and required vendors

  • Collect and review subcontractor bids inclusive of phone calls to ensure full sub participation

  • Submit bids to Project Manager

  • Generate subcontractor list and provide to superintendent

  • Setup project in Pocore and enter budget

  • Schedule internal kick-off and weekly meetings with the team

  • Generate internal kick-off meeting agenda

  • Draft project contract inclusive of all required exhibits and ensure executed prior to construction commencement

  • Ensure insurance certificate is issued and provided to ownership prior to construction commencement

  • Generate draft work orders and submit to project manager for review prior to issuance

  • Generate kick-off email to subcontractors including schedule, current drawings, permit card, other information required

  • Generate authorizations to proceed (ATPs) and maintain log

  • Generate owner change orders (OCOs) from approved ATPs prior to billing cycle

  • Audit job cost reporting throughout duration of project

  • Other duties as required by business needs.

  • Support team with submittal and RRI processing

  • Support closeout process with confirming client, owner and subcontractor information

  • Collect dump tags and process as required by cities

Certificates & Licenses:

  • Valid driver’'s license and clean DMV driving record.

 Qualifications:

  • High school diploma or GED

  • One to three years’ verifiable experience in office administrative work with strong attention to detail

  • Proficiency in Microsoft Office (Word, Excel, Outlook)

  • Experience in the construction industry and Procore software a plus
